Ramayana Trials Budget

Ballpark hardware and on-ground costs for the three trials: equipment, rentals, installation and setup, with staffing shown separately. Figures are ranges from public listings, rate cards and industry guides, not vendor quotes. Transport and software development are not included.

Scenario

Assumptions

  • Event day only: one show day of about 10 hours, with rentals for a setup day and the show day.
  • 3-week activation: 21 show days of 8 hours at one site, the event day included, with weekly rental rates.
  • VR Battle budgets 2 stations plus a spare headset, about 24 players an hour. Sanjeevani budgets one 75" kiosk, about 45 rounds an hour, plus unlimited phone play.
  • Staffing at agency bill rates of $30–67 an hour. Bow Challenge: host and spotter. Sanjeevani: one host. VR Battle: a safety host per station plus a fitter.
  • Purchased items (headsets, PCs, mini PC, router, stanchions, banners) are bought once and kept, so they cost the same in both scenarios.
  • USD sources converted at 1.38 CAD per USD. Excludes transport, 13% HST and venue service charges.

What moves the number most

  • LED wall for the VR spectator view. The biggest single cost. Day rates include a technician; a 3-week run is priced as a long-term rental. Two large TVs instead of an LED wall would cut this sharply, at some loss of impact.
  • Staffing across 3 weeks. Running all three trials for 21 days needs about 6 people on shift. If the client or venue supplies staff, take this out.
  • Buy or rent the touchscreen. For a 3-week run, buying a 75" commercial touch display may cost less than renting one. Worth a quote both ways.
  • Rush bookings. Agencies and rental firms add 20–30% for bookings under 2 weeks out.
  • Venue rules. Convention venues often require their own AV and electrical contractors, and their rates run higher than the ranges here.

Prices marked "estimate" are our judgement for the spec and should be replaced by vendor quotes. Get 2–3 local quotes for the touchscreen, LED wall and fabrication before committing.
